Preparation of a pupil record before creating a CTF

An individual CTF can be created for an individual pupil, a sibling group of pupils or an entire year group of pupils.

A CTF can be used to transfer pupil details from the school's main MIS pupil system to another system (eg: from Sims.net or Integris to eProfile) within the same school or a CTF can be created for an individual pupil or groups of pupils for the purpose of transferring details to the pupils' next school.

The CTF filename is as follows:   820aaaa_CTF_820bbbb_001.xml     (where aaaa is the sending school's DCSF number and bbbb represents the receiving school's DCSF number).

When creating a CTF for the purpose of transferring pupil details from one system to another within the same school, the school should select the pupils to be included in the CTF filw and choose their own school as the 'destination' school. This would create a CTF called 820aaaa_CTF_820aaaa_001.xml  (whereby the aaaa represents both the sending and receiving school).

When creating a CTF for the purpose of transferring pupil details to the next (destination) school:

  • Ensure that your MIS system contains the correct LA and DCSF numbers of the destination school. Use Establishment Finder to find LA/DCSF school numbers.
  • Pupils have been assigned their appropriate 'new' destination school. [Select 'Out of Scope' as the destination for pupils who are moving into independent schools or moving abroad. Destination 'Unknown' should only be used when advised by your school's Education Welfare Officer.]
  • A reason for leaving will need to be assigned to each pupil leaving the school.
  • Note: Schools that do not use electronic attendance systems within their MIS must enter latest attendance details into the pupil(s) record(s) manually at the time of transfer before a CTF is created.

CTFs for other Bedfordshire schools should be sent via the AVCO secure system.
CTFs for schools outside Bedfordshire or for Out of Scope or Unknown destinations should be sent via the S2S web site.
