- Attendance Seminars 2007

Please note the following:
From September 2007: Code X should only be used for statutory aged pupils
not expected to attend. Code X should not be used for
non-statutory nursery and/or reception year children when not attending
school due to illness etc. Non-statutory children absence should be recorded
in the same way as for statutory children. Then Census return will not pick
up any attendance/absence for pupils who, at the census date, are not
statutory. You do not need to replace any code X if you have used them for
non-stat pupils during 2006/7.
From September 2007,
schools will need to make sure that any changes to attendance marks are
recorded with who made the change, when and why the change
was made. You only need to give
individual evidence of why a code is amended from say an 0 to a B or a M to
a V and NOT from N to, for instance, an M (as the N code is a holding code
rather than a code in itself). The Attendance module in Integris 6.87 has a
new 'Notes' column for schools to record changes when necessary.
- Integris Upgrade 6.87 -
your upgrade CD and instructions pack are currently being distributed to
schools. Please ensure that you upgrade BEFORE you run Year End. Your packs
will include brief release notes about what to expect in this release of
Integris and Attendance. However, more detailed release notes can be found
on your CD.
- Year End process -
instructions for Year End procedures are now available from
here.
Remember that you must run Year End to roll your datafile forward into the
next academic year (07/08) so that your system will generate correct UPNs
AND for the necessary calculations of Attendance (if using the Attendance
module) ready for the September/October 07 census.
Year End Training - a training session has been arranged for
Thursday 28th June 2007 from 9.30 -12.30pm at Maryland Hse, Priory
Business Park Bedford. This session runs through all the processes involved
in the Year End procedures and will therefore be essential for users who
have not completed Year End before and useful for users in need of a

- Converting your
addresses to BS76666 Format - now
is the time to start converting your existing addresses from Address line
format to the British Standard 76666 format. This process will be an ongoing
one as you will need to check each address in turn once you have switched on
the BS7666 format but it is important that you start the process now as it
will be only a matter of time when Address line format will cease.
Instructions for conversion to BS7666 can be found in your Integris 6.86
Release Notes issued on your last Integris upgrade CD or you can download
them from here
(pdf document). Please read through them carefully before you start.
- Importing Admissions
Transfer File (ATF) - the LA will
very shortly be sending out an ATF file to each Middle & Upper school via
AVCO. This one file for your school contains all the basic pupil details
(name, dob, gender and address) as well as SEN, Ethnicity, Key Stage results
and School History for those pupils who have been allocated places at your
school for the new academic year (07-08). This means that you do not need to
collect CTF files from each of your feeder schools or create CTF files for
your destination schools at this stage. However, all schools must create CTF
files in the normal way later in the year which will contain the important
Attendance data to update pupil existing records. In preparation, we have
produced a Importing ATF Files
instructions to help you with this
process.
- New Manual page!
We now have a new link in the left index which takes you to
further links to updated pages from the Integris manual. We will be adding
to the list as more release notes are issued following each upgrade.

- School Census - PLEASE NOTE!
ALL Schools! When you create your School
Census return with the Census Wizard, a new folder called
820dddd_SC1_820LL07 will be created with the census file
820dddd_SC1_820LL07_001.xml
and the E820dddd.txt and 820dddd.txt files inside it. Please DO NOT copy the
whole folder into the Avco outbox! You only need to copy the
820dddd_SC1_820LL07_001.xml
file into the Avco outbox and send this file to County Hall.
A question for Lowers only - is the grey bar on
the right of your Integris screen showing PLASC 2006? If yes, you need to
remove it and add the School Census module for 2007! Please contact the ICT
Helpdesk for help if needed.
- Spring School Census
for ALL schools -
Thursday January 18th 2007. Deadline for return to be with LA
is Wednesday 31st
January 2007. Please don't leave starting and completing the census to the last minute!
You must upgrade to Integris 6.86 first before you start working on the
Census return.

For schools using the Attendance module, you need to ensure the Autumn
term's attendance is complete and up-to-date (i.e. check that code N's have
been followed up and changed to correct code where possible).
For schools not using the Attendance module, you must enter Autumn term's
summarised data into a spreadsheet. Follow the instructions (step 26)
at the end of the
DataClean Checklist. We strongly recommend that you enter the
Attendance data as soon as you can before the Census is run.

- Annual software audit
and contract renewal - audit forms and letters
will be arriving at your school this term. We will be asking whether you are
interested in taking up the new Behaviour module. Details about Behaviour
can be accessed from the Behaviour link on the left. Please ensure that they are
completed correctly and promptly as schools
will be invoiced according to the details completed on these forms.

upgrade CD should arrive in schools shortly. This upgrade contains the
relevant updates for the School Census module for January 2007. Please

how this upgrade affects your data from you Integris 6.86 CD when it arrives
in your school.

DataClean Checklist - start preparing your data for next term's
School Census.

schools with School Transport Plans in the Spring School Census. [Mode
of Travel collection form]. However, in
preparation for the Integris 6.86 upgrade, ALL schools should review
their Transport Type parameters to ensure current values match the new DfES
Mode of
Travel codes. If you have additional codes (over and above the DfES
ones) which you wish to retain after upgrading to Integris 6.86, schools
should download and run the
MigrateTransport.ahr report to copy your all your transport data to a
new Student UDI field [instructions].

Language codes are changing in readiness for Spring School Census. This
will affect the Mother Tongue, Language Spoken at Home
and Language of Tuition parameters. Follow
instructions in the
Dataclean Checklist for School Census to ensure mapping exercise in the
upgrade to Integris 6.86 goes smoothly.

Exporter
software - follow the
instructions to download and install the Exporter software onto your PC
that has the Avco software installed.
XPorter Spreadsheet containing 'Extract times' as per
instructions. Please try to install Exporter by Friday 8th December!

- School Census
update - we are aware that the health Check report is not counting
new Year 5 pupils - please ignore this error. The census return is NOT
affected by this.
- Data Collection Routine -
Autumn 2006 - Lowers/Specials &
Nursery schools: Data Collection Routine for
current and former rolls to be done on 21st September to meet IPG's deadline of
Friday 29th September 2006.
Instructions for
running the reports are now available.

Collection Routine for former pupils only (who have left
between 04/05/06 to 20/09/06) needs to be returned to IPG by
Friday 29th September 2006.

- Year End - please make sure you upgrade to Integris 6.85.0 BEFORE you run Year End
- this is extremely important for Middle Schools as this process in
the updated version archives the Attendance statistics for 2005/2006 ready
for the School Census on September 21st!
- We have now moved to new
premises at Priory Business Park in Bedford. Please take note of the
following changes to the ICT Helpdesk phone numbers:

- Attendance -
new codes must now
be used. When you have created your
Attendance new year (as per the Year End instructions), the new codes will
be in place and ready for you to use. (For Guidance on use of new codes
click
here)
ALL Schools - Print
Registration Lists to insert into Manual Registers - don't spend time
writing names out into the manual registers -
follow the
procedures so that you can
extract your new class lists from Integris and paste them into your Manual
registers to save you time!
- Middles/Upper
Schools only - School Census date is
Thursday 21st September! The census return must reach IPG by Friday
6th October! This census is a repeat of the census you undertook last
May.
Please note - on creation of the census return file, the attendance data for
the previous academic year (05-06) and the Summer Term 06 will also be
included automatically. Your Year End procedure (run in Integris v 6.85)
will collect and archive this data appropriately for the census return. It is therefore imperative that you have completed Year End in version 6.85
to enable the census return to work as it should.
Schools can commence data checking for the census now (please use this
updated
Census DataClean
Checklist). To commence completion of this term's census return, you will need to change the Census Date (In
Integris, go
to School Census > Parameters > School Census Return Date > select
Autumn > the return date should automatically change to Sept
21st). Essentially, this return will include pupil data and
some school data
items - the checklist asks you to print a copy of last term's return as a
reference for this term's return.

user Notes issued in Jan 06 for more in-depth information about data
items.
The xml file created
this term will be called 820dddd_SC3_820LL06_001.xml.
We recommend you test Avco to ensure it is
working in your schools in good time before the census return date!
LOWERS Only: Dates of
Birth Ranges for Years N1, N2 & Reception (2006/7)
Please check that any new pupils admitted
into your Current Roll have been assigned the correct Year group according to
their dates of birth (irrespective of
what classes they are in) as follows:
**children born between 1/9/2001 and 31/8/2002 (incl) must be assigned
Reception Year
**children born between 1/9/2002 and 31/8/2003 (incl) must be assigned Year N2
**children born on or after 1/9/2003 must be assigned Year N1
[It is important that these Year groups have been assigned correctly for
School Census in January: Use Speed Edit to check your datafile; in the Search box,
enter the from/to dates of birth ranges on the 'Dates' screen to select one
year group at a time; then under Area, select Current year]
